Every admission season, the same scene plays out at colleges and schools across India: a crowd outside the admission office from early morning, parents standing for hours, students unsure which counter to go to, and staff who can't hear themselves over the noise. The fee counter, the document verification desk and the ID card desk each have their own crowd, and nobody knows which line they belong in.
Most of this is not a capacity problem. It's an organisation problem — and a token system fixes most of it.
Why Admission Days Get Out of Hand
- Several steps, one crowd. Enquiry, form submission, document verification, fee payment and ID cards happen at different counters, but people queue wherever they see a line.
- No visible order. "Who came first" is decided by whoever pushes to the window.
- No idea of the wait. Families from out of town can't plan — they don't know whether it's 20 minutes or three hours.
- Everyone has to stay. Leaving for food or water means losing your place.
Set Up One Queue Per Step
Map the admission process into its real steps and give each its own queue and counter:
| Step | Counter | Notes |
|---|---|---|
| Enquiry and forms | Help desk | Quick; keeps curious visitors out of the other lines |
| Document verification | Verification desk | Slowest step; add counters on peak days |
| Fee payment | Fee counter | Can run several windows in parallel |
| ID card and books | Issue counter | Last step |
Students take a token for the step they need. When a counter finishes with a student, staff can transfer them to the next step so they don't start again at the back.
Let Families Wait Anywhere on Campus
With a token on their phone and a live link showing how many are ahead, families can sit in the canteen or under a tree instead of packing the corridor. A TV at the admission block shows the called tokens and announces them, so those nearby hear their number too.
Before Admission Day
- Publish the process on your website and notice board: which documents to bring, in what order the steps happen.
- Print QR posters for each step and put them at the gate and outside each counter.
- Name counters clearly — "Fee Window 1", "Verification Desk 2" — because that's what the announcement will say.
- Test the display volume in the actual corridor with a crowd, not an empty building.
- Brief staff on calling, holding, skipping and transferring.
On the Day
- Keep one volunteer at the gate helping parents scan the QR code, and issuing tokens from the desk for those who can't.
- Watch the verification queue — it's usually the bottleneck. Open another desk as soon as it grows.
- Skip tokens that don't respond after a call and let them rejoin, so one absent family doesn't hold everyone up.
After Admission Season
The same setup works all year for fee collection, exam form submission, scholarship desks and certificate counters — anywhere students queue at a window.
How InCue Fits
- QR tokens without an app — students and parents scan and get a token and a live link.
- Multi-counter queues with each counter calling from a phone or computer (Pro plan: up to 5 TV displays and 8 staff logins).
- Transfer a token from verification to fees without re-queuing.
- TV display with calls announced in English and Hindi.
- WhatsApp alerts when a turn is near (optional, ₹1 per token).
- Reports on tokens and waiting times per counter, so you can plan staffing for next year.
Institutions with several campuses or very large admission volumes can talk to us about an Enterprise setup.
A calm admission day is a family's first impression of your institution. It's worth getting right.
