1. Introduction

This Privacy Policy explains how MR Industry collects, uses, stores, shares, and protects information through InCue, including our website, merchant app, dashboard app/web, display app, QR token pages, customer tracking pages, WhatsApp/SMS communication, feedback forms, reports, analytics, and related services. We aim to follow applicable Indian data protection laws, including the Digital Personal Data Protection Act, 2023, where applicable.

3. What InCue Does

InCue is a smart queue and token management system for clinics, hospitals, diagnostic centers, salons, service centers, offices, counters, and other businesses where customers wait for their turn. InCue may provide QR token generation, staff dashboard, merchant app, live TV token display, customer live tracking links, optional WhatsApp/SMS updates, service management, staff access, reports, analytics, feedback collection, admin tools, and related features.

4. Information We Collect from Merchants

We may collect merchant information such as business name, owner name, phone number, email address, business category, business address, city, GST details where provided, subscription details, payment or invoice references, plan details, service list, average service time, staff details, display/device details, queue settings, QR settings, and support or onboarding communication.

5. Information We Collect from Staff Users

We may collect staff information such as name, phone number, email address, linked merchant, role, permissions, login/session information, device/browser details, queue actions performed, and activity logs. This helps merchants manage staff access and maintain operational accountability.

6. Information We Collect from Customers

We may collect customer information such as name if provided, phone number if provided, selected service, token number, token status, queue status, estimated wait information, tracking page activity, WhatsApp/SMS delivery status, feedback if submitted, and basic technical information related to token generation or tracking. Customer data is used for queue/token management and related communication.

7. Token, Queue, and Operational Data

InCue may process token and queue data such as waiting, serving, completed, cancelled, no-show, hold, skipped or paused status; current serving token; tokens ahead; service selected; token creation time; status update time; staff actions; counter or display activity; queue pause/resume events; and reports or analytics generated from this activity.

8. WhatsApp/SMS Communication Data

If WhatsApp/SMS communication is enabled, InCue may process message-related data such as recipient phone number, template name, token number, service name, estimated wait information, tracking link, delivery status, failure status, provider response, and message logs. WhatsApp automation is optional and usage-based at ₹1 + GST per generated token unless otherwise agreed in writing.

9. Feedback Data

InCue may allow merchants to collect feedback after service completion. Feedback may include rating, comments, token reference, service reference, merchant reference, and submission time. Feedback is intended to help merchants understand customer experience and improve operations.

10. Technical and Usage Data

We may collect technical and usage data such as IP address, browser type, device type, operating system, app version, screen size, approximate location based on IP, login time, session information, page views, button clicks, referral source, UTM parameters, performance logs, error logs, diagnostic logs, and security logs. This helps us operate, secure, improve, and debug InCue.

11. Website Analytics and Tracking Tools

The InCue website may use analytics and tracking tools such as Google Analytics, Meta Pixel, Microsoft Clarity, cookies, local storage, pixels, or similar technologies to understand website usage, measure campaigns, improve user experience, detect issues, and improve conversion flows. These tools may collect usage data such as pages visited, clicks, scrolls, session activity, device/browser details, and referral/UTM information. We do not intentionally send sensitive medical information, Aadhaar numbers, payment card details, passwords, or similar sensitive data to analytics tools.

12. Microsoft Clarity

We may use Microsoft Clarity to understand how visitors interact with our website through heatmaps, session recordings, and usage analytics. Clarity may capture interactions such as clicks, scrolls, page views, device/browser details, and anonymized usage patterns. Clarity is used to improve website design, performance, user experience, and conversion flow. We do not intentionally send personal health information, medical records, Aadhaar numbers, passwords, or payment card details to Microsoft Clarity.

13. Cookies and Consent

The InCue website may use cookies, local storage, analytics scripts, and similar technologies. Where a consent banner is provided, analytics or marketing tools may be loaded based on user consent choices. Users can manage cookies through browser settings, but some website features, preferences, or tracking controls may not work properly if cookies are disabled.

14. How We Use Information

We use information to create and manage merchant accounts, manage staff access and permissions, generate and track tokens, show queue status on dashboards and display screens, provide customer tracking links, send WhatsApp/SMS alerts when enabled, collect feedback, manage subscriptions and payments, provide support and onboarding, maintain activity logs, generate reports and analytics, improve product performance, debug issues, secure the platform, communicate service updates, and comply with legal obligations.

15. Legal Basis / Consent

Where required, we process personal data based on consent, contractual necessity, legitimate business requirements, compliance with law, or other lawful grounds available under applicable Indian law. Customers may provide consent when generating a token, sharing their phone number, submitting feedback, or agreeing to receive queue-related communication. Merchants are responsible for ensuring they have proper consent or lawful basis to collect and process customer data through InCue.

16. Merchant and Customer Data Responsibility

Merchant data is used to provide and manage InCue services. Customer data is used for queue/token management, including token generation, queue tracking, alerts, and feedback. Merchants are responsible for informing customers about data collection, collecting valid consent where required, using customer data only for lawful purposes, avoiding collection of sensitive medical or identity details, managing staff access properly, and responding to customer data requests where applicable.

17. Sensitive Data Restrictions

InCue is designed for queue and token management only. Merchants, staff, and customers should not enter or store prescriptions, diagnosis, medical history, treatment details, Aadhaar numbers, government IDs, insurance documents, payment card details, bank details, passwords, sensitive medical records, or highly confidential personal data in token forms, queue notes, tracking pages, display screens, WhatsApp templates, or feedback forms. InCue is not a medical records system, hospital information system, electronic medical record system, diagnosis platform, payment vault, or identity verification system.

18. Public Display Privacy

InCue may show queue information on TV or display screens. Merchants are responsible for configuring display settings responsibly and ensuring that no sensitive personal, medical, financial, or private information is shown publicly. Display screens should be used only for appropriate queue visibility such as token numbers, service queue status, and non-sensitive information.

19. Data Sharing

We do not sell merchant or customer personal data. We do not share merchant or customer data with unrelated third parties for resale. We may share limited data with service providers required to operate InCue, such as hosting/cloud providers, database providers, authentication providers, WhatsApp/SMS providers, payment providers, analytics/monitoring providers, support tools, operational service providers, and legal/government authorities if required by law. Such sharing is limited to what is reasonably required for providing, maintaining, securing, or improving InCue.

20. Third-Party Services

InCue may depend on third-party providers such as hosting/cloud providers, Firebase or authentication providers, database providers, WhatsApp/SMS providers, payment providers, analytics platforms, Microsoft Clarity, Google Analytics, Meta Pixel, monitoring tools, and communication platforms. These third parties may process limited data according to their own terms and privacy policies. We are not responsible for their independent privacy practices.

21. Data Security

We use reasonable security practices to protect data, such as HTTPS for data transmission, authentication controls, role-based access control, restricted admin access, server-level safeguards, access monitoring, activity logs, operational security practices, and controlled database access. However, no software, network, or online service can be guaranteed completely secure.

22. Database-Level Encryption Disclosure

At this stage, InCue may not provide database-level encryption for all stored data. We use reasonable security practices such as HTTPS, authentication, role-based access control, restricted admin access, activity logs, server-level safeguards, and operational security controls. Users and merchants should understand that no digital system can be guaranteed completely secure.

23. Data Retention

We may retain data for as long as required to provide InCue services, maintain merchant accounts, support queue operations, maintain activity logs, resolve disputes, meet legal, tax, accounting or billing requirements, prevent misuse, improve service reliability, and support reports or analytics. We may delete, anonymize, or archive data when it is no longer required, subject to technical, legal, and operational requirements.

24. Data Deletion and Account Closure

Merchants may request account closure or data deletion by contacting support. Some data may be retained where required for legal, tax, accounting, fraud prevention, security, dispute resolution, backup, or operational purposes. Customer-level deletion requests may need to be handled by the relevant merchant if the merchant controls the customer relationship.

25. User Rights

Subject to applicable law, users may request access to their personal data, correction of inaccurate data, deletion of personal data, withdrawal of consent, information about how data is used, or grievance redressal. Requests can be sent to support@incue.in. Some requests may need to be verified before action is taken. Some customer requests may need to be handled by the relevant merchant.

26. Children’s Data

InCue is not intended for direct unsupervised use by children. If a token is generated for a minor, the merchant, parent, or guardian should ensure that only necessary queue-related information is entered and that appropriate consent or authorization exists where required.

27. Promotional Communication

InCue may send promotional, informational, service-related, and feature-related communication to merchants, staff, and customers where applicable. These may include product updates, feature announcements, offers, service alerts, subscription reminders, queue-related alerts, feedback requests, onboarding messages, and help messages. Users may opt out of promotional messages where applicable. Service or transactional messages related to queue/token management may still be sent where required for service delivery.

28. Data Breach

If we become aware of a data breach that requires notification under applicable law, we will take reasonable steps to investigate, mitigate, and notify affected parties or authorities where legally required.

29. International Processing

Some third-party service providers used by InCue may process or store data in locations outside India depending on their infrastructure, terms, and configuration. Where applicable, we aim to use service providers and processing practices consistent with applicable law.

30. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. The latest version will be published on this website with an updated date. Continued use of InCue after changes means you acknowledge the updated policy.
